AI Receptionist
An AI receptionist that turns calls into organised enquiries.
When you are on a job, on another call or closed for the night, Step Into AI answers in your business name, captures what the caller needs and puts it straight into your CRM. You get a summary. The customer gets a reply.
What an AI receptionist is, and what it is not
An AI receptionist is a phone answering system that holds a natural spoken conversation with a caller, follows a script you approve, captures the information you need and takes an action: books an appointment, arranges a callback, transfers the call or takes a message. It is sometimes called an AI phone receptionist, AI answering service, AI voice agent or automated receptionist. The terms describe the same thing.
It is not a voicemail with a nicer voice, and it is not a chatbot bolted onto a phone line. The difference that matters to a business is what happens after the call. Step Into AI is built so that every call the receptionist takes becomes a record in your CRM with the caller's details, a summary of what they wanted, a next action and a follow-up sequence. The answering is the start of the process, not the whole of it.
It is also not a replacement for people. Most businesses use it for the calls their team cannot take: overflow during busy periods, calls while everyone is on a job, evenings and weekends. Anyone who wants a person can be transferred when someone is free or promised a callback.
The problem
A missed call is rarely just a missed call.
Callers do not leave voicemail
Most people ring the next business on the list instead. The enquiry is gone before you have seen the missed call.
Ringing back too late
By the time the van is parked and you call back, the customer has already booked someone else.
Staff pulled off the job
Answering the phone from a ladder or mid-treatment is unsafe, unprofessional, and still loses the detail.
Details on scraps of paper
Even answered calls end up as a name and number with no record of what was asked or promised.
How it works
What actually happens when a call comes in
The receptionist follows a script built around your business. It can answer everything, or only the calls you do not pick up within a set number of rings.

Capabilities
What the receptionist can do on a call
Everything below is configured for your business during setup and can be changed by you afterwards.
Answers in your business name
Greets callers with the words you choose, at the times you choose: always, after a set number of rings, out of hours, or only on a dedicated number.
Asks your qualifying questions
Postcode, job type, urgency, property type, preferred stylist, whatever your business needs to price or book. The questions are yours, not a generic script.
Answers common questions
Opening hours, areas covered, rough prices, what a survey involves, parking. It answers from a knowledge base you approve and nothing else.
Books or arranges callbacks
Offers available slots from a connected calendar and books them, or captures preferred times for your team to confirm.
Transfers when a person is free
Rings your team or a ring group and passes the call over. If nobody picks up it takes over and promises a callback.
Flags urgent calls
You define what counts as urgent, such as no heating or water coming in, and how you want to be alerted.
Writes the enquiry into your CRM
Name, number, summary, urgency and next action, saved against the customer record before the call has ended.
Texts the caller what happens next
A confirmation of the booking or callback time, so the caller stops ringing round.
Knows what it must not say
Hard limits on pricing commitments, medical or regulated advice and anything else you rule out. Unknown questions become a callback, not a guess.
What you get
Outcomes, not features.
- Fewer missed opportunities, because every call is answered by someone or something
- Faster response, with the caller told what happens next before they hang up
- Less admin, because the enquiry is written up and saved for you
- A calmer, more professional experience for the customer
- A pipeline that fills itself with organised, qualified enquiries
You stay in control
You decide when the receptionist answers: always, only when nobody picks up, out of hours, or only on a dedicated number. You decide what it can promise, what it must never say, and when it should hand off to a person.
How we handle your data is set out on our security and data processing pages.
How approval settings workWho it is for
- Trades and field-based businesses whose team cannot answer while working: roofers, plumbers, electricians, property maintenance
- Salons and clinics where the phone rings while staff are with clients
- Any service business that loses enquiries to voicemail in the evening and at weekends
- Businesses with an office that is overwhelmed at peak times and wants overflow cover
- Owners who want every call written up and followed up, not just answered
Worth knowing before you decide
- It is an automated system and we recommend telling callers so. Most do not mind once they are getting help rather than voicemail, but a minority will always prefer a person, and for them it can transfer or arrange a callback.
- It only knows what you have told it. Questions outside its approved knowledge base become a callback request. It will not improvise an answer.
- Setup takes an hour of your time to agree the greeting, questions, knowledge base and urgency rules. A receptionist configured badly will disappoint; we do this with you at onboarding.
- It can be interrupted by very poor mobile signal or background noise like any call. It confirms key details back to the caller to reduce mistakes.
- It does not diagnose, quote firm prices or give regulated advice unless you have explicitly configured it to state approved figures.
Examples
In practice
Short examples of how businesses use it. Illustrations of the configured workflow, not customer case studies.
A two-van heating firm in winter
Both engineers are on jobs when a cold snap triples the calls. The receptionist answers every one, captures address, boiler and symptoms, flags three as urgent, and offers next-day slots to the rest. The owner reviews the list from the van at lunchtime.
A salon during a colour appointment
The stylist cannot answer. The receptionist takes a booking for a cut and blow dry, explains that a patch test is needed before a first colour, and logs a consultation request for the aesthetics practitioner to call back.
A roofing company at 8pm
A homeowner with water coming through the ceiling rings four roofers. Step Into AI is the one that answers, captures the details, promises a call first thing and texts confirmation. The others went to voicemail.

Will callers know they are speaking to an AI?
Yes, if you want them to. We recommend being open about it and most callers do not mind once they realise they are getting help straight away rather than voicemail. The greeting is yours to write.
What if the caller wants a person?
The receptionist can transfer to any number or ring group, take a message and promise a callback within a time you set, or flag it as urgent so someone on your team gets an immediate alert.
Can it book appointments?
Yes. Connected to your calendar it can offer available slots and book them, or take the customer's preferred times for you to confirm. Many businesses start with callback requests and turn on direct booking once they trust it.
Does it work with my existing number?
Yes. Either port your number to Step Into AI or divert unanswered calls from your current phone system to the receptionist. Both are common.
What does it cost?
The AI receptionist is included in the Answer plan from £79 a month. See pricing.
