Virtual Receptionist

A virtual receptionist that books, qualifies and follows up, not just answers.

A virtual receptionist answers your business calls without sitting in your office. Step Into AI does that with an AI receptionist connected to your calendar and CRM, working alongside your own team, so every call is answered and every enquiry has a next step.

What a virtual receptionist is, and the three kinds you can choose

A virtual receptionist is a receptionist who is not physically in your building. Calls to your number are answered remotely, the caller is greeted in your business name, and details are taken, appointments booked or the call passed on. Businesses use one because a full-time receptionist costs a salary to cover a few dozen calls a day and still leaves evenings uncovered.

There are three kinds. A human virtual receptionist service employs people in a call centre to answer for many businesses at once. An AI virtual receptionist uses a voice assistant configured with your script and knowledge base. A hybrid uses AI for most calls and a person for the rest, either the provider's staff or your own team by transfer.

Step Into AI is the second and third kind. The receptionist that answers is AI, configured for your business. Your own team is the human layer: calls can be transferred to whoever is free, urgent calls are escalated, and anything the receptionist cannot handle becomes a callback for a person. We do not employ human operators, and we say so plainly, because the honest comparison below is more useful than pretending otherwise.

The problem

What businesses are usually trying to fix

A receptionist salary for a part-time need

The phone needs answering all day but there is rarely enough call volume to justify a full-time person.

Calls missed when the office is empty

Lunch, holidays, sickness, or simply everyone being out on jobs.

No cover after hours

Customers ring in the evening and reach voicemail.

Messages that need chasing

A message from an answering service is another task on the pile, not a booked appointment.

Operators who do not know the business

A generic script cannot tell a routine enquiry from an emergency, or answer the questions your customers ask.

Nothing joined up

The receptionist, the diary and the customer list are three separate things maintained by hand.

How it works

How Step Into AI works as your virtual receptionist

The receptionist is configured with your greeting, questions, knowledge base, calendar access and escalation rules. Your team stays in the loop by transfer and alert.

  1. AnsweredAI
Greets the caller in your business name
    • Every call, or only the ones your team does not pick up
  2. QualifiedAI
Asks your questions and answers theirs
    • New or existing customer, what they need, where, how urgent
  3. BookedAuto
Offers slots from your calendar and books
    • Or takes preferred times for you to confirm
  4. TransferredYou
Passes the call to a person when needed
    • Complex questions, complaints, anyone who asks
  5. CRMAuto
    Customer record created or updated
    • Call summary, booking and next action saved
  6. Followed upAuto
    Confirmation, reminder and follow-up sent
    • The receptionist starts the process; the platform finishes it

Capabilities

What it handles

Call answering

Every call or overflow only, in office hours or around the clock.

Qualification

Captures the details that let you decide whether and how to respond, in your words.

Appointment booking

Live availability from Google Calendar or Microsoft 365, or booking requests for your team to confirm.

Transfer and escalation

Warm transfer to a ring group, urgent alerts by call and text, callback tasks when nobody is free.

Knowledge base answers

Prices, areas, hours, what to expect. Approved by you, updated by you.

CRM updates

Every call becomes a record with history, not a message to retype.

What you get

Outcomes, not features.

  • Reception cover for the cost of a small monthly plan rather than a salary
  • Calls answered when the office is empty, after hours and at weekends
  • Appointments booked on the call, not after a game of phone tag
  • Your team involved only where a person adds value
  • One system for answering, booking, customer records and follow-up

You stay in control

You decide which calls the receptionist takes, what it may promise, when it transfers, and who is alerted for what. Every call is recorded in the CRM so you can review how it performed.

How we handle your data is set out on our security and data processing pages.

How approval settings work

Who it is for

  • Salons, clinics and practices where the front desk cannot always answer
  • Small offices without a dedicated receptionist
  • Trades and installers who want booking handled on the call
  • Businesses comparing a human answering service with an AI alternative

Worth knowing before you decide

  • The receptionist is AI. If your callers must always speak to a human on first contact, a human virtual receptionist service is the better fit and we say so in our comparison.
  • Booking on the call requires calendar access. Without it the receptionist captures preferred times for your team to confirm.
  • It does not give clinical, legal or financial advice and will pass those questions to a person.
  • Human transfer depends on your team being reachable. The fallback is a promised callback.

Examples

In practice

Short examples of how businesses use it. Illustrations of the configured workflow, not customer case studies.

A dental practice at lunchtime

Reception is closed for an hour. The virtual receptionist takes appointment requests, answers questions about registration and parking, and flags a patient in pain for an immediate callback.

An aesthetics clinic between clients

Consultation enquiries are captured with the treatment of interest and availability, and booked into the practitioner's consultation slots. Clinical questions are passed to the practitioner.

An electrician working alone

Every call answered while on site. EV charger enquiries are qualified and surveys booked without the electrician stopping work.

Connected

Works with the rest of the platform

Each part is useful on its own. Together they own the whole customer journey.

Questions about Virtual Receptionist

Is a virtual receptionist the same as an AI receptionist?

A virtual receptionist is any receptionist who is not in your building, human or AI. An AI receptionist is one kind. Step Into AI provides an AI virtual receptionist with your own team as the human layer for transfers and escalations.

Can it replace our receptionist?

It can cover the calls a receptionist would take, but most customers use it alongside their people: for overflow, lunch, holidays and out of hours. We do not sell it as a way to remove staff.

Can callers tell it is not a person?

Usually, and we recommend saying so in the greeting. Callers care more about getting help quickly than about who is answering, and anyone who wants a person can be transferred.

Which calendars does it book into?

Google Calendar and Microsoft 365 as standard, with other diary systems through integrations. Where a direct connection is not available it captures preferred times for you to confirm.

What does it cost?

The virtual receptionist is the AI receptionist in the Answer plan from £79 a month. Booking, CRM and follow-up are included from the Grow plan. See pricing.
